Attract · Email-to-ATS

Every CV in your HR inbox, in your ATS automatically

Forward your careers or HR mailbox to OneATS. Every email with a CV attached becomes a candidate profile, filed under the right job when the email mentions it, or saved to your talent pool. No downloading, renaming or re-typing.

Set up in 5 minutes

Create one simple forwarding rule in Microsoft 365, Outlook, or Google Workspace.

Right job, automatically

Job codes and role titles in email subjects are matched directly to active roles.

No duplicates, no junk

Existing candidate profiles are updated with new CVs; non-hiring emails are filtered.

Automated ingestion

How email intake works

When a candidate or agency emails your careers address, your mail server forwards the message to your dedicated OneATS inbound address. Attachments are extracted, text is parsed into structured fields, and a candidate profile is created automatically.

  • Dedicated inbound address: [email protected]
  • Automated text extraction from PDF, DOCX, and images
  • Instant notification when new candidate profiles are generated

Mail setup

Works with Microsoft 365 & Google Workspace

Set up automatic email forwarding from your existing hiring inboxes (such as [email protected]) without changing the email address candidates see. Standard forwarding rules ensure zero disruption to your daily email workflow.

  • No password required when using standard email forwarding
  • Supported on Microsoft 365, Outlook, Gmail, and custom mail servers
  • Optional IMAP polling connection for dedicated mailboxes

Job routing

Smart job code and title matching

OneATS inspects email subject lines and body text for job codes (such as ACME-000123) or exact job titles. When matched, the candidate is placed directly into that job's Applied stage; otherwise, they are filed in your searchable talent pool.

  • Automatic routing via job reference codes
  • Fallback to talent pool so no candidate is lost
  • Match score computed immediately upon ingestion

Spam filtering

Deduplicated by email, spam filtered out

If a candidate applies again or submits an updated resume, OneATS updates their existing profile and appends the new CV rather than creating duplicate records. Non-recruitment emails like vendor pitches and system alerts are automatically ignored.

  • Intelligent deduplication by candidate email address
  • Purge tool for non-hiring correspondence
  • Keeps pipeline metrics clean and accurate

Parsing

Every format parsed into structured profiles

Resumes submitted as PDFs, Word documents (.docx), or scanned images are processed through the OneATS resume parser, extracting candidate contact details, work history, education, and skills.

  • Supports PDF, Word (.docx), and image formats (PNG, JPG)
  • OCR text extraction for scanned or photo CVs
  • Direct integration with candidate match scoring

Frequently asked questions

Do we have to change our public careers email address?

No. You continue using your existing careers email address (e.g., [email protected]). A simple server-level forwarding rule forwards incoming messages to your OneATS inbound address behind the scenes.

What happens to emails that don't have a resume attached?

Emails without supported document attachments are flagged or ignored, preventing non-hiring newsletters and spam from cluttering your applicant tracking pipeline.

Which file formats are supported for email parsing?

OneATS parses PDF, Microsoft Word (.docx), and image formats (JPG, PNG, WEBP). Older legacy .doc binary files are not supported.

Can OneATS read resumes sent as photos or scanned images?

Yes. OneATS includes optical character recognition (OCR) that extracts text from photographed or scanned CVs.

Is our mailbox password stored in OneATS?

Standard email forwarding requires no mailbox credentials. If you choose optional IMAP polling, credentials are encrypted at rest with AES-256.
